TOC Scanning and Sending
With our help, Jean and Cary, the reference librarian dynamic duo, will be able to provide incoming Table of Contents information from our print journals to inquiring minds who don't have the luxury of time to sift through our stacks for new research.
Here are the steps:
- Log into the staff copy machine with the correct ID and Password. If you don't know either, you know where to check.
- In the top row of buttons on the touch screen, tap the second one labeled 'Send' (1). Now you should be looking at the screen pictured below.

Tap the 'Address Book' button (2).

Once you've hit address book-

Select or manually enter appropriate email address.
- Tapping OK should bring you back to the above picture.

Tap on the 'Send Settings' button.
- Now you should be looking at this screen. Tap the top left button 'Send Doc. Name'.

- Use your intuition to abbreviate the name of the journal, and then put the volume and issue numbers. There is no real system for naming these documents.

Hit 'Done' or 'Ok' until you return to the 'Send' screen from the first picture.

- This is the trickiest part. Line up journal's table of contents page(s) so that's it's within the smallest measurement possible. Use the measurements carefully.

This journal just barely fit in STMT(R), so you may need to use the next one up.

- Now press the big green start button shown in the picture below.

- It will ask you for the measurement to scan by, which is the one you decided on when setting the journal on the scanner. Select the right one, and hit OK.
- Now the machine scans the first page, and presents you with a prompt. If the table of contents takes up more than a single page, line up the next page on the tray and
- PRESS THE GREEN START BUTTON AGAIN, not the Done key on the screen.

- Keep scanning pages until you have completely scanned the table of contents.
- Now go ahead and hit the done key. This is the machine's signal that it can wrap up the document and email it away.
- Once you have scanned all the journals, check email and open the each of the scanned files and be sure that each page is legible.
- Once you have double checked ALL of the files, forward each journal table of contents to Jean Amaral and Cary Jardine.
- Finally, drag all circulation and forwarded email to the TOC folder on the desktop. This will indicate that the files are scanned and sent and everything is good!
