Mail Processing
Incoming: All incoming mail now gets delivered to the library by noon. The cart waits for the mailperson in front of the vault by the information desk and is brought to the library by the mailperson. We extract our own library mail, then call the Student Accounts office (Cathy Schlicting x2492) to have them graciously pick up the rest for the school. We also sign anything that needs signing. Keep any bins leftover from our library mail so that ILL people have something to sort into.
Sorting:
1)any package or box addressed to ILL, open and put in green bins 2)any letters addressed to ILL put in green bin(unopened) 3)any package or box addressed to “library” or a staff member (i.e Marcy, Cathy, etc…) put UNOPENED in green bin 4)Letters addressed to specific staff, bring to them (as usual) 5)Journals still go directly to Cathy’s inbox 6)new theses and dissertations still go to Cary 7)Joint box for Cary/Jean is only for collection development (i.e. Catalogs for journal of book collection) 8) Large orders from Amazon should be brought directly to Cathy (she will usually let us know when to expect these)
Outgoing: All outgoing mail gets wheeled to us from the mail room by the Students Accounts office at 10AM. We add our library mail to the cart and the Post Office picks it all up at our desk by 12PM. The mailperson should leave the cart in front of the vault by the information desk, if for some reason it ends up back in the library please return it to its proper resting place. There is a second pickup, for library outgoing mail, at around 2PM. THE MAIL CART NEEDS TO BE OUT BY THE VAULT OVERNIGHT.
Weekends: The post office delivers all campus mail to the library on Saturdays, around 12PM. Pull out and sort library mail as usual. Store remaining campus mail under the table with the red & green ILL baskets. The student accounts office will pick up the cart first thing on monday morning.
Not Frequently Used, but Important Info: The Mail Instruction booklet is in the inter-departmental mail basket, but the best way to learn is from a person, especially for the stamping of outgoing mail.
Mail is a core front desk duty due to ILL's fast turn-around time requirements. Every weekday we need to package and stamp outgoing mail by 10am (mail machine resets at 10:30am). The mailman drops off and picks up mail at about 12pm and 2pm. Under no circumstances should you turn on the Mail Machine if it is off.
