How To Charge/Discharge Library Materials

*Note:  When discharging books that have been marked as lost in Voyager, first remove "lost item" status.  Then, before closing the screen, go to the "discharge" drop down menu on the top toolbar and select "collect fines."

Once here you need to forgive two out of three of the fines that have been placed on the patron's record for the "lost" item.

1. Forgive the "Lost Item Processing" fee.

2. Forgive the "Lost Item Replacement" fee ($50).

The "Overdue" fee for the patron returning a book that is marked "lost" remains on their record and they need to pay it. It is extremely important that you remember NOT to close down the discharge screen until you have forgiven the fees associated with the item they have returned. This is the ONLY opportunity you have to know who the patron is and your one chance to make sure they aren't being charged for fees which are no longer applicable since we now have the book back!

Wave Wand, Close, De-beep (i.e. What Would Cary Do?)
We've had some troubling times with the 3M security system. As you all may have noticed, scanning an item into the 3M system doesn't always mean that Voyager has picked it up. Meaning that we're de-beeping items and giving them out to Lord only knows who. Because getting items into Voyager is second only to unlocking the doors in order of importance in Library functions, I'm setting new procedures:

1. Wave Wand: scan each item into Voyager.
2. Close the Voyager Charge Window: this will be important for the next step so that you're not renewing items.
3. De-Beep items: use the little guy-waking-out-the-door icon to de-beep items that ARE IN VOYAGER already
4. Forgive me any dumbing-down transgressions. We've had WAY too many problems and have way too few books and dvds to afford to give them away.

Wave Wand, Close, De-beep. Presto.

De-Beep All Materials, Plus ILL
Also new: please de-beep EVERY book, audio or video item we hand over the desk to patrons. The most provocative items this includes are ILL items which may or may not have RFID security tags. Nonetheless, our gates are BEEPING way too often. Try to de-beep all ILL items whether or not you see a tag and please continue to call people back and re-scan their items when it does beep. De-beeping ILL books (ours or other libraries') should minimize the number of erroneous beeps.

TO CHARGE OUT BOOKS:

Click the button with the person going out the door.

Open the patron’s voyager account

Put all their books on the 3M Pad

Check the number next to the unlock symbol and on their voyager account to see if all the books on the pad were charged to their account.

If not, that means they do not have a tag and you need to manually wand them to charge them to the patron’s account.

TO DISCHARGE:

  • Click the button with the bookshelf icon
  • Select discharge in voyager
  • Put all items on 3M Pad
  • Check again to see if the correct number of books that were discharged is correct
  • If not, redo the items that didn't discharge - check to see if they have a tag (you may need to manually wand them back in).  See Tagging-Manually.
